Policies and procedures relevant to people assigned to be Door Group members at the UCC are contained here. Some notes for Door Group members are also available.
UCC Door Group Policy:
Version 0.3
For the safe and secure use of the Electronic Door Lock
This policy governs the use of the Electronic Lock and its operating software for all people, and can only be overruled by the Executive Committee ("the Committee") of the University Computer Club ("the UCC").
Persons who are deemed responsible by the Committee shall be given access to electronically open the door to the UCC. These people are to be responsible for all activities in the UCC Club Room ("the Room") while the Room is open under their control.
Should a person in this group decide to leave, they should either:
- wait for another member of the aforementioned 'responsible' people to arrive, or
- close the Club Room.
If option (2) is selected, then the person must give sufficient notice to the other members who are using the Room at the time that the Room shall be closing. Should another member of the 'door group' arrive during this time, then notice need not be given about the status of the Room: if this new person is staying a while, then it can be assumed that responsibility is passed to this person, but it is expected that the leaving 'door group' person shall inform the newly arrived member of this circumstance as a matter of course.
A person shall be deemed responsible by the Committee, and can at any time be removed from this group with or without notice by the Committee. A member may appeal this at any General Committee Meeting.
Any member of the club may approach the Committee and ask to be considered for inclusion in this group. Candidates shall be assessed on their trustworthiness and prior record. In the interest of safety and security, First Time Members shall not, in general, be included in this group. All others must demonstrate their responsibility to the Club in order to be considered.
The 'door group' shall, at the Committee's approval, be purged and recreated during the Annual General Meeting so as to maintain an accurate list of members who are 'trusted' and who currently require access to the Room. In general, any member of the Committee and of "Wheel" (that being all who have control over the UCC's machines, as defined by the Committee) are automatic members of the 'door group', unless specifically removed by the Committee, apart from the First Year Representative, who shall be admitted when the Committee sees fit.
Important:
When the door has been opened by anyone and while there are members in the Club Room, it should remain in the open position. If it is closed, it should be reopened immediately. Anyone who deliberately closes the door while there are members within so as to entrap them shall be dealt with as the Committee sees fit.
Emergencies:
In case of fire, all members should be removed from the Club Room. Fire extinguishers are located at the top door of Cameron Hall. If possible, an attempt should be made to extinguish the fire. Be warned that there may be live electricity to the equipment/area that is on fire. The Guild and University should be notified of this event as soon as possible.
Further questions:
For more information, please contact any member of the Committee, either by phoning the UCC on (08) 6388 3901, or by mailing committee@ucc.gu.uwa.edu.au.
This policy is to be interpreted as the Committee sees fit.
